How to Conduct a Successful Remote Board Meeting

A remote board meeting is conducted via video conference call which allows the board members to not physically meet in the same room. It became a popular method to conduct business during the coronavirus pandemic and will likely remain in use post-pandemic.

Using the right tools is the key to an efficient and effective remote board meeting. Board members should have access to all materials prior to the meeting. This will reduce time and help prevent any confusion during the meeting. It is also helpful to record the meeting, especially when there’s lots of discussion or if it is a long meeting.

Encourage board members to pay attention to their surroundings when they’re logging into the meeting. Distractions like the barking of a dog, noisy street noises or even the slight sound of television in a different room can distract and make it difficult to concentrate during the meeting. Board members should be able sign in from their office using an unlocked, quiet door.

It is important to note the presence of every board member at the beginning. This not only ensures everyone is present, but also sets the tone for the meeting and shows that it’s a crucial issue. It’s also a good idea to stop after each agenda item to solicit feedback. This encourages participation and engagement, even for remote members. The board is able to decide to act on the feedback that was provided after the meeting, if they want to.
